SEO Report Format: What to Include and in What Order

Quick answer: An SEO report opens with the reporting period and four headline numbers, then shows the pages and queries that moved, then lists the work shipped, then names what comes next. Put the summary first and the methodology last. Anyone who stops after the first section should still know how the period went.

The report you sent ran to nine pages and the client replied asking whether the month was good. Somewhere on page four was the answer, under a chart of keyword positions nobody asked for.

Ordering fixes more reporting problems than writing does. The same figures land completely differently depending on what the reader hits first.

What goes in the first section of an SEO report?

The period, the four headline metrics, and one sentence saying which direction things moved. That is the whole first section. A reader who stops there has the answer to the question they opened the document to ask.

State both date ranges explicitly, including day counts. A 31-day month against a 28-day month carries a built-in 10 percent difference before any SEO work is considered.

What order should the middle sections follow?

Move from outcome to cause. Pages and queries that moved come first, because they explain the headline numbers. Work shipped comes after, because it explains the movement. Plans come last, because they depend on everything above.

Each section should answer the question the previous one raises. A reader who sees clicks down 12 percent immediately wants to know which pages, and the next section should already be that.

  • Headline metrics for both periods, with dates and day counts
  • Pages by click change, both directions, five rows is usually enough
  • Queries by click change, with average position beside each
  • Work shipped, dated, with the page each item touched
  • Next period's commitments and the metric each should move
  • Methodology and limitations, last

Where does methodology belong in the format?

At the end, and always present. It names the property, the date ranges, which figures are Search Console metrics, and what the data cannot show. Nobody reads it monthly, and its absence is noticed the one time a number is questioned.

Keep it in the same position every period. A methodology note that moves around reads as something being explained away.

What should the format leave out?

Position charts for individual keywords, when the client has no way to act on them. Domain-authority scores from third-party tools. Screenshots of dashboards the reader cannot open themselves.

The test is whether the reader can reproduce the figure. Anything that fails that test is decoration, and decoration is what makes a report nine pages long.

TAKEAWAY CHECK

  6. 06Check that each section answers the question the one above it raises.

What else do people ask about SEO report format?

How long should an SEO report be?

Two pages handles most engagements. The headline numbers, two tables of movers, work shipped, and next steps. Extra length is the easiest thing to add and the least connected to whether a client renews, and it mostly buries the figures that answer their actual question.

Should an SEO report use the same format every month?

Yes. A stable structure lets the client compare periods without relearning the layout, and it makes the report faster to produce. Change the format only when adding a section, and say what changed in the note when you do.

Does the format change for a brand new site?

The order stays the same, and the headline metrics change. A site in its first months has almost no clicks, so lead with impressions and indexing progress instead, and say why in the same sentence. Reporting near-zero clicks as the headline tells the client nothing useful.

Where do Analytics numbers fit in the format?

In their own section with their own heading, after the search performance sections. Search Console clicks and Analytics sessions count different events and will never reconcile. Blending them in one chart produces a figure that matches neither source.

Should the report include a written summary or just numbers?

One sentence under the headline metrics, naming the direction and the main driver. Longer summaries tend to restate the tables underneath. The client can read four numbers without help, and what they cannot do is verify a paragraph of interpretation.
